What to include

None of it is mandatory. Every line you can answer moves the reply from a range to a number.
Dates and venue
Confirmed or shortlisted dates, the city, and the venue if it is booked. If it is not booked yet, the shortlist is enough for us to work with.
Audience
How many people in the room, how many joining online, and who they are — employees, dealers, delegates, customers, press or ministry guests.
Format
Conference, town hall, launch, dealer meet, awards night, exhibition or offsite. Single plenary, or plenary plus parallel breakout rooms.
Technical picture
Stage and screen expectation, streaming destinations, whether sessions are recorded, remote speakers dialling in, interpretation or captions.
Event technology
Registration and QR check-in, badge printing, access control, live polls and Q&A, an event microsite or app, live dubbing.
Commercials
A budget range if you have one, your approval path and deadline, and whether you need equipment on rent only rather than full delivery.
